PTO DIRECTORS

JOB DESCRIPTIONS 2008-2009 

REQUIREMENTS:

  • All Director positions are required to attend the monthly (1st Tues.) PTO meetings. Meetings begin at 6:30 p.m. in the school library.
  • Free babysitting is always provided for any child whose parent is attending the PTO meeting. Children are NOT allowed in meetings!
  • Directors are voting members of the PTO.
  • Directors are highly encouraged to form a committee in order to complete the tasks of the positions.
  • Directors must be able to communicate by email on a regular basis.

 

    Director of Arts Enrichment is responsible for organizing school-wide cultural enrichment activities by coordinating with Principal, front office and the artists. Must also notify teachers of programs as well as Facilities Supervisor for equipment set up.  Also coordinates Art A La Carte program by explaining program to teachers and volunteers at Open House (sign-in sheets in all rooms), All-Parent Meeting (table set up) as well in as Red Folder (create flyer).  Maintain AALC lesson plans, computer discs, supplies as well as coordinating training sessions if needed.   

    Director of Communication is responsible for overseeing Red Folder stuffing each week by making sure volunteers show up as well as maintaining supplies for weekly needs. Remind Grade Level Reps to send notices to Room Parents about their month to do RF. Ensure all flyers have been approved by Principal or PTO President; Be “on-hand” each Tuesday AM to train new volunteers and set up tables to receive folders from classrooms; General communication to Webmaster about RF events as well as entire Parent email list. Also work with Caring Committee Rep by relaying names of families needing extra care or condolence.  

    Dad’s Club Director is responsible for coordinating and scheduling all Dad’s Club activities (fun events and fundraising events); communicates with PTO and Principal about these activities; Assists set-up for Spooky Spaghetti and general labor-intensive projects that helpless little PTO women cannot do by themselves. 

    Director of Dual Language is responsible for involving the Dual Language community via monthly or quarterly meetings or by email.  Also responsible for arranging translation of documents and interpreting as needed (gathers names for a list to distribute). 

    Director of Facilities is responsible for supporting a safe and clean school, beautification of school grounds and facilities.

    Director of Grade Level Reps is responsible for organizing the Grade Level Reps and Room Parents in the school or grade-wide activities of the classroom, both for the school and the PTO. Some examples are classroom socials, Spooky Spaghetti, class parties, Bash, etc. Conducts and orientation with Grade Level Reps at beginning of school year and establishes regular communications with them. 

    Grade Level Representatives are responsible for recruiting, organizing and communicating with Room Parents.  This important position is the first link from the parent and teachers to the PTO.  They coordinate Red Folder Assistance, classroom socials (by the end of Oct.) and classroom creations for their grade level for Huckleberry Bash. NOTE that there are 2 reps for Grades K & 5th due to volume of activity. 

    Director of Hospitality is responsible for planning and coordinating refreshments for PTO events including monthly meetings as well as End-of-Year luncheon by contacting parents who have expressed an interest to help from the VIPS Director.  Also responsible for maintaining orderly Parent Workroom.

    Director of Publicity is responsible for organizing media coverage of Mark Twain activities and PTO sponsored events. Must submit written articles on a monthly basis to neighborhood publications as well as occasionally submitting photos and press releases to local newspapers.  Must be aware of MT happenings in order to cover them.  Must be creative and self-assertive. Good writing skills would be a PLUS!

    Director of School Store is responsible for ordering and selling school supplies and MT logo wear throughout the school year.  Organize the “back to school” sale and coordinate volunteers to staff the store. Heaviest time commitment is organizing “back to school” sale one week before the new school year begins. 

    Co-Directors of Student Directory (2-person job) One Director is responsible for coordinating with membership director to accumulate student and parent data; updating directory database (excel workbook); preparing data for publication including class lists, school calendar, PTO board membership list; preparing cover artwork.  Other Co-Chair is responsible for selling advertising over the summer and preparing advertisements for publication in directory as well as selling and distributing the directory before Oct. 31st 

    ***Requires two people – one to sell ads and one to enter data.***

    Director of Technology acts as a liaison between the PTO and the Mark Twain Technology Committee, who addresses the needs of the school. Maintains PTO website and responsible for posting of events, updates, etc.

    Director of VIPS (Volunteers in Public Schools) is responsible for coordinating volunteers and maintaining database; works with office staff to coordinate background checks & badges. Job starts in July locating volunteers for School Supply Sale in August. MUST be email savvy as this is best way to locate and coordinate volunteers. Also coordinates Volunteer Appreciation Luncheon in May and distributes awards. Must not be shy! 

    Director of Yearbook is responsible for taking photographs and producing an annual yearbook for purchase.  Must have understanding of desktop publishing and Internet experience. Make sure all school functions, including field trips, are covered with someone to take pictures.

    Co-Directors of Parent Education (2) Coordinate researching and presenting educational forums/programs to MT parents.  Coordinator(s) will schedule outside professional speakers to address relevant parenting topics 2-4 times throughout school year.  Also, with approval from PTO President, will provide any printed articles or research relevant to furthering parent education and knowledge.
